THE SHORT ANSWER
Fields age at different rates. Profile and contacts may be checked every 90–180 days, recent content and performance every 30–60 days, rates and availability for every campaign, and rights or exclusivity by contract date. Save source, observation time and expiry for each AI conclusion. Expired data can provide context but should not trigger outreach, budget or compliance decisions. Revalidate affected fields before material action rather than rebuilding the entire record.
Set freshness by decision risk
Low-risk discovery can tolerate older data; sending needs current contact, budget commitment needs current rates, and publication or advertising needs valid rights and disclosure.
Group fields into background, selection, commercial confirmation and blocking levels. Higher-risk data is checked closer to action.
Store source time, not only collection time
A page collected today may show year-old data. Store content publication, platform window, collection time and last human confirmation separately.
AI summaries need source fields. If the data date is unknown, mark unknown rather than using collection time as freshness.
Turn expiry into a focused review task
Expired contact data triggers email and agency verification; expired audience data triggers a new market screenshot; expiring rights trigger active-use inventory. Do not delete the whole record and restart.
Record unchanged, updated, unverifiable or no longer applicable, while preserving old values for historical campaigns.
Measure errors caused by stale data
Measure how many bounces, wrong agencies, rate gaps, ended exclusivity terms and dead links came from data beyond its SLA. Shorten the window or improve sources when one field repeatedly fails.
Show freshness beside the decision in QuickKOL rather than hiding it as metadata. Reviewers should see the age of evidence they use.
Different fields need different freshness thresholds
Creator fields do not expire together. Identity may be reviewed every 180 days, rates and availability every 30, audience geography and median views every 60–90, while ad permission requires a live pre-launch check. NIST AI RMF emphasizes continuous measurement and management; pairing last-confirmed date with maximum age lets automation identify stale fields before use.
If 500 candidates have 4,000 critical fields, with 3,200 current, 500 stale and 300 unknown, field freshness is 80%. That does not approve the list if unknowns cluster in target-market audience or rights status. Show both the overall rate and field-level risk tiers.
Creator data freshness policy
Adjust example thresholds to business risk.
| Field | Example maximum age | Action when stale |
|---|---|---|
| Identity and contact | 180 days | Reverify |
| Rate and availability | 30 days | Confirm in outreach |
| Audience and performance | 60–90 days | Request fresh data |
| Rights and ad access | At launch | Block delivery |
CHECKLIST
Before AI uses creator data
Eight checks cover time, source and risk.
- Every critical field has a source
- Last-confirmed date is available
- Field-specific freshness limit is set
- Unknown and zero are separate
- Stale fields do not auto-rank
- Missing high-risk fields block action
- Refresh preserves prior value and date
- Bulk refresh has sampled QA
