How to build an always-on creator discovery watchlist

Maintain potential creators with entry reasons, signals, review cycles and exit conditions so campaigns do not restart discovery from zero.

THE SHORT ANSWER

A watchlist is not an unsent outreach list; it is a pool of possible future matches. Keep entry reason, representative content, market, theme, signals, last review and exit condition for every creator. Review high-, medium- and low-priority records every 30, 60 or 90 days rather than monitoring daily. Move a creator into formal selection only when a real brief matches.

Require a clear entry reason

Entry can reflect sustained coverage of a problem, target users in comments, strong production fit or growth in a local market. Save one reviewable reason and one content link.

“May be useful later” is too vague. Accounts without evidence expand the list without helping campaign decisions.

Tier by signal strength rather than follower count

High priority means several signals across content, audience and feasibility; medium means relevant content with missing audience or commercial information; low means an early signal.

Follower size remains a field but does not set review frequency. A small, highly relevant account may deserve closer observation.

Track changes that can alter a decision

Track theme share, format, target-market audience, sponsorship density, posting cadence and brand conflicts. Do not save every new post or the watchlist becomes a low-value feed.

Each review answers whether the entry reason still holds, what changed and whether the creator should move up, down or exit.

Set exit and archive rules

Archive when the creator stops covering the topic for two review cycles, becomes inactive, has a confirmed conflict or remains unverifiable. Preserve the archive reason.

Keep watchlists separate from campaign candidates in QuickKOL. Copy a current evidence snapshot into the campaign so later changes do not rewrite the original decision.

Size the watchlist to review capacity

TikTok One supports creator search using keywords, country, audience and performance filters, which can feed a watchlist. Results change with data and search conditions, so each entry still needs a date and reason.

If a team can review 40 creators carefully each month and uses 30-, 60- and 90-day cycles, a balanced list might hold about 120 records: 20 high-, 24 medium- and 72 low-priority creators, producing roughly 40 monthly reviews. When capacity is exceeded, remove records without a clear entry reason or new signal across two cycles rather than reducing review quality.

Watchlist tiers

Review cadence follows signal strength, not follower size.
